This data notably enables the provision of the requested results and recommendations.
When you use VEYA CLASSIC, certain structured criteria of your search may be recorded separately from the conversation, as described in section 12.

- messages;
- viewing requests;

- IP address;
- device type;
- operating system;
- browser;
- technical information necessary for security;

- contextualise the responses;
- compare the displayed properties;
- generate recommendations.
The data used in this context is processed only to the extent necessary for the operation of the service.
5. Legal bases
Depending on the processing involved, VEYA relies in particular on the following legal bases:
Contract performance — When processing is necessary to provide the service requested by the user. For example:
- account creation and management;
- property listing;
- management of a viewing;
- messaging;
- order processing.
Legal obligation — Certain data must be retained or processed in order to comply with legal obligations, including:
- accounting obligations;
- tax obligations;
- transaction-related obligations;
- security obligations or cooperation with authorities where applicable.
Legitimate interest — VEYA may process certain data when necessary for its legitimate interests, including:
- platform security;
- prevention of abuse and fraud;
- enhancement of security;
- protection of VEYA’s rights;
- reasonable improvement of its services.
When VEYA relies on legitimate interest, it takes into account the rights and freedoms of the data subjects. The Belgian Data Protection Authority reminds that legitimate interest must be genuine, necessary, and not overridden by the fundamental rights of the individual.
Consent — When required by law, VEYA requests the user’s consent.
The user may withdraw their consent at any time when processing is based on it. Withdrawal does not affect the lawfulness of processing carried out prior to withdrawal. The DPA also reminds that consent must be freely given, specific, informed, and demonstrable.
6. Artificial Intelligence and Recommendations
VEYA uses artificial intelligence technologies to assist users in their property search.
Your search conversation context and relevant public listing information, including descriptions, are sent to OpenAI to generate a response. Private messages exchanged between users are not included in this processing. A filter removes some unnecessary contact details but cannot identify all personal information. Avoid sensitive information in your search. Active search conversations use sessionStorage; archives use localStorage on your device and do not necessarily disappear when the browser closes. New histories are separated by account and universe. For information about provider retention and LUXE data, contact support@immoveya.com.
The assistant may analyse the information provided during a conversation to understand the expressed criteria and present properties that match those criteria.
VEYA's recommendations are generated automatically and may take into account the criteria expressed by the user as well as the available properties.
A recommendation does not constitute a legal, financial, or professional decision regarding the user.
VEYA does not claim that a recommendation objectively represents the best choice for any individual.
When a user asks VEYA to recommend a property from those already presented, the assistant may use the criteria expressed in the conversation to make this comparison.
7. Recipients of Data
Personal data may be accessible, when necessary, to the following categories of recipients:
- authorised VEYA personnel or service providers;
- technical service providers necessary for the platform’s operation;
- payment service provider;
- email delivery service providers;
- hosting and storage service providers;
- service providers necessary for authentication and security;
- public authorities when required by law.
VEYA does not sell users’ personal data to third parties for commercial purposes.
8. Communication Between Users
Certain data is deliberately made accessible to other users when necessary for the operation of VEYA.
For example, when a property owner publishes a listing, the information published may be publicly visible.
When a user requests a viewing or contacts the owner, certain information necessary for communication may be shared with the relevant recipient.
Users should therefore avoid including personal information in a listing or message that they do not wish to disclose.
9. Data of Professionals
When a user acts as a professional or agency, VEYA may process the following:
- professional identity;
- agency name;
- professional contact details;
- subscription information;
- information related to professional listings;
- statistics and activities associated with the professional account.
This information may be visible to users when necessary for presenting the agency or its listings.
10. Payments — Stripe
Payments made on VEYA may be processed by Stripe.
VEYA receives the information necessary to identify and manage a transaction, but full credit card details are processed by Stripe when it acts as the payment service provider.
Users must also consult the privacy information provided by Stripe when necessary.
11. Electronic Communications
VEYA may send emails necessary for the operation of the service, including:
- registration confirmation;
- account recovery;
- publication confirmation;
- payment-related information;
- visit-related information;
- service messages;
- important account-related information.
Commercial or promotional communications, when sent based on consent, may be unsubscribed from in accordance with the terms provided in the relevant message.
Search email alerts — When you request one after a VEYA CLASSIQUE search on the website, IMMOVEYA stores your email address, the structured criteria of that search, the chosen language, the version of the consent text and the dates of consent and confirmation. Purpose: sending you only newly published CLASSIC properties matching that search. Legal basis: your consent, which you may withdraw at any time. Your alert becomes active only after confirmation through the link received by email; no commercial communication is sent in this context. Every email contains a link to manage, disable or delete the alert and an unsubscribe link. Emails are sent by our provider Brevo. An unconfirmed alert is deleted automatically after 7 days; a confirmed alert is kept until you delete it or unsubscribe. You can also write to support@immoveya.com.
12. Data Retention
VEYA retains personal data only for as long as necessary for the purposes for which it is processed, except where a longer retention period is imposed or permitted by law.
Search criteria recorded by VEYA CLASSIC — Your buying or renting intent is recorded as soon as you choose Buy or Rent on the website or in the questionnaire, without waiting for final confirmation. Missing criteria are not invented; subsequent answers refine the same request. Purpose: understanding the property searches made on VEYA in order to improve the range of listings and adapt the service. Data recorded: only structured criteria — transaction type, place searched, property type, minimum and maximum budget, currency, number of bedrooms and desired features (for example surface area, garden, parking, energy rating) —, a random technical search identifier and the dates of creation and last activity. Your conversation, your free-text sentences, your e-mail address, your phone number and your account identifier are not recorded for this purpose. These criteria are not linked to your account, but may still be personal data. Intended legal basis: VEYA's legitimate interest in improving its service; you may object at any time. Access: a single authorised VEYA administrator account. Retention: 12 months after the last real activity in the search (your buying/renting choice or a new message from you); internal processing does not extend this period. Expired records are deleted automatically every day. Your choices: in the VEYA CLASSIC chat on the website, under "Your search criteria", you can tick "Do not record" (choice kept on this device and browser) without preventing your property search. This refusal applies to your following choices and messages; it does not delete a search already recorded, which must be erased separately with "Erase my search". The VEYA mobile app does not currently record any search criteria for this purpose. The "Erase my search" button and the search number remain available only in the tab where the search took place and may disappear when it is closed. After that, you may write to support@immoveya.com with your search number to exercise your rights of access, rectification, erasure or objection; this number helps locate the request but does not by itself trigger automatic deletion, and your request is handled by support. You may also lodge a complaint with the Belgian Data Protection Authority.
In general:
- account data is retained for the duration of the account’s existence;
- advertisements are retained during their publication period and thereafter as required for management, security, or evidential purposes;
- messages and visit data are retained as long as necessary for the operation of the service and the management of any disputes;
- transaction-related data is retained for the periods necessary to comply with accounting, tax, and legal obligations;
- certain technical data may be retained for a shorter period appropriate to its purpose.
When data is no longer necessary and no legal obligation or legitimate reason justifies its retention, it is deleted or anonymised.
The GDPR requires that the user be informed of the retention period or, where this cannot be precisely determined, the criteria used to determine it.
13. Account Deletion
The user may request the deletion of their account or use the deletion feature when available.
Deleting the account may result in the deletion or anonymisation of certain data.
However, some data may be retained when necessary for:
- compliance with a legal obligation;
- accounting or taxation purposes;
- the defence of rights in legal proceedings;
- fraud prevention;
- the security of the platform.
14. Security
VEYA implements reasonable technical and organisational measures to protect personal data against:
- unauthorised access;
- loss;
- destruction;
- alteration;
- unauthorised disclosure.
Access to data is restricted to individuals or service providers who require it for their duties.
The Data Protection Authority reminds that the data controller must determine who may access the data, under what conditions, and for how long.
As no IT system can guarantee absolute security, VEYA cannot guarantee zero risk.
15. Data Transfers Outside the European Union
Some technical service providers used by VEYA may process certain data from countries outside the European Economic Area.
Where applicable, VEYA implements the mechanisms provided by the GDPR to regulate these transfers, including adequacy decisions or appropriate safeguards when necessary.
Information regarding applicable transfers and safeguards may be provided to the user in accordance with the GDPR.
The Belgian Data Protection Authority stipulates that information concerning transfers outside the EU must notably specify the existence of an adequacy decision or appropriate safeguards.
16. User Rights
In accordance with the GDPR, the user may, subject to the conditions set out by the regulations:
- request access to their data;
- request correction of inaccurate data;
- request deletion of certain data;
- request restriction of processing;
- object to certain processing;
- request portability of certain data;
- withdraw consent where processing is based on it.
The exercise of a right may be subject to the conditions and exceptions provided for by the GDPR.
The Belgian DPA notably confirms the rights of access, rectification, erasure, restriction, objection, and portability.
17. Exercise of rights
To exercise a right, the user may send a request to: support@immoveya.com
The request should ideally specify:
- full name;
- email address used on VEYA;
- right being exercised;
- specific request.
VEYA may request reasonable information to verify the identity of the requester when necessary to prevent disclosure to an unauthorised person.
VEYA will respond within the timeframes provided by the GDPR.
18. Right to Lodge a Complaint
Users who believe that their personal data is not being processed in accordance with the GDPR may first contact VEYA.
They may also lodge a complaint with:
- Data Protection Authority
- Rue de la Presse 35
- 1000 Brussels
- Belgium
- Official website: Data Protection Authority
19. Minors
VEYA is not intended for children where a minimum age is legally required to use a particular service.
Where processing is based on consent and the law sets specific conditions for minors, VEYA applies the corresponding rules.
21. Changes to the Policy
VEYA may amend this Privacy Policy to take into account:
- new features;
- new service providers;
- changes in processing;
- legal or regulatory changes;
- security enhancements.
The most recent version is published on the website and in the app where applicable.
In the event of a substantial change affecting users’ rights, VEYA will take appropriate measures to inform them.

LUXE search questionnaire — preparation
The visitor LUXE questionnaire is being prepared. Request storage and submission are not open. Answers stay on the page during the journey and disappear when it is reloaded or closed. No automatic introduction or communication is triggered.
After separate activation, a confirmed request may include property type, locations and zones, budgets and currency, features, requirements and preferences, project, timeframe and voluntarily supplied details. An optional name and email address will be collected only if you request email follow-up and consent to that use. No telephone, implied marketing or full conversation is planned. Purpose: handle your LUXE search request. The authorised administrator may view the request. Only with your explicit consent and after you confirm your address, IMMOVEYA sends you one email through Brevo presenting the published, approved LUXE properties matching this request, then an email for each new matching property, until you unsubscribe via the link in every email. Your criteria and contact details are never passed to agencies. Planned retention: 12 months after the last genuine activity; administrative changes do not extend it. This is neither a CLASSIC email alert nor a LUXE seller dossier.
You may withdraw follow-up consent and request access, correction or erasure at support@immoveya.com. The LUXE erasure proof remains prepared and inactive. This describes preparation, not external legal approval.
